Bookings That Happen Automatically

From "I'm interested" to "I've paid" — in minutes, not days.

Most travel businesses lose 3 out of every 5 ready-to-buy customers because the reply is slow, the quote takes hours, or the payment link arrives the next day. We fix that. The whole booking — quote, deposit, confirmation, voucher — happens by itself. No more lost customers. The money stays with you, not the big booking sites.

What you actually get

Six simple pieces that turn enquiries into paid bookings

We do not sell you a piece of software. We build and run the whole booking machine for you — using the tools you already have. You see real bookings, not promises.

Instant Quotes On Your Website

Stop spending four hours on email quotes. Customers get a real price in 90 seconds. The price knows your mark-up, your child rules, your group discounts and your peak seasons. A clean PDF lands in their inbox and on your customer list.

Built into your website →

Real-Time Spaces Across Every Channel

Your rooms, seats and tour spaces stay in sync — on your website, on Booking.com, on Expedia and everywhere else. No more selling a room that just sold five minutes ago. No more empty seats you forgot to put back online.

For destinations →

Easy Deposits And Balance Payments

Customers pay the deposit when they book. The balance is taken by itself, 30 or 45 days before the trip. If a card fails, a friendly WhatsApp reminder goes out. If they still do not pay, your team gets a call. Refunds are simple too.

Linked to your customer list →

Supplier Confirmations Without The Chasing

Hotels and ground partners get the booking right away. Even the old-school suppliers who only use email get handled by us. One simple screen shows every booking and warns your team before any customer notices a problem.

For tour operators →

Vouchers And Tickets — Sent Automatically

Branded vouchers, e-tickets, visa papers, transfer details, joining notes — all made by themselves when a booking is confirmed. Sent on WhatsApp and email. Customers can find them anytime in one place. Works in many languages.

VIP customer service →

Win Back Customers Who Almost Booked

If someone fills the form but does not pay, three friendly nudges go out — a WhatsApp message in 15 minutes, a small offer the next day, then a real call from your team. Wins back 1 in 4 nearly-customers. Usually pays for itself in two months.

How we build it

Four simple steps. Live in 8 to 14 weeks.

Building a booking machine the wrong way costs you real money. So we go carefully. The same four steps below have worked for over 60 travel businesses — including big ones with hundreds of partners.

Step 1 — We Find Where You Lose Customers

Weeks 1 to 2. We look at every part of your booking process. Where do customers drop off? How long does a quote take today? We give you a clear picture and a plan.

Step 2 — We Connect Your Tools

Weeks 3 to 6. We connect your booking system, your partners, your payments and your customer list. Even old suppliers who only use email — we handle those too. Everything in one place.

Step 3 — We Set Up Your Prices The Right Way

Weeks 7 to 10. We put in your mark-ups, your seasons, your group discounts, your agent rates and your taxes. We test it against 200 of your past real bookings. Every price has to match before we go live.

Step 4 — We Switch You On Slowly

Weeks 11 to 14. We run the new system next to the old one for two weeks. Then we switch fully — with eyes on it 24/7. You get a weekly report showing the extra bookings and the time saved.

Why this approach beats a packaged OBT

Packaged tools vs TravelTradeInsights automation

Packaged booking tool

  • Forces your business into the tool's pricing model
  • Limited or rigid supplier integrations
  • Generic checkout that does not match your brand
  • Cart abandonment is a paid add-on, usually weak
  • You pay per booking forever, scaling with revenue
  • Cannot handle legacy email-only suppliers without manual ops

TravelTradeInsights automation

  • Your pricing rules, your margins, your business logic — encoded exactly
  • Integrates with every supplier model, including email-only legacy
  • Branded checkout, your domain, your colours, your voice
  • Abandonment recovery built in across WhatsApp, email and showing ads to people who visited
  • Flat monthly running cost, no per-booking tax
  • Middleware handles ugly supplier reality so your team never sees it
Real-world examples

Three travel brands, three different booking realities

destination travel company · Riyadh

Sahara Voyage

Inbound destination travel company running 90+ suppliers across hotels, transfers and desert experiences. Average quote turnaround was 36 hours. 58% of high-intent enquiries went stale before reply.

Saudi Arabia →
Tour operator · Mumbai

Bluepine Tours

Outbound packages to Europe with a custom trip planning tool bolted onto WordPress. Deposit collection was a manual link sent on WhatsApp; 32% of deposits failed silently.

After 10 weeks: Deposit collection rate from quote-to-paid up from 41% to 68%. Cart abandonment recovery alone returned ~USD 84,000 in month two.

Tour operator marketing →
Adventure · Queenstown

Lotus Adventures NZ

Day-tour operator with 45 activities across heli-skiing, bungee and jet-boating. Used FareHarbor for inventory but had no balance automation; chasing balances ate 11 hours/week of front-of-house time.

After 12 weeks: Balance chase time near zero. Abandonment recovery delivered 24% lift. booking website share dropped from 64% to 38%.

Adventure travel →
"We had four humans whose entire job was chasing supplier confirmations. After TravelTradeInsights shipped the supplier middleware, we redeployed three of them to growth roles. Our quote-to-confirm time went from 2.3 days to 11 minutes. Booking.com is now under a quarter of our revenue."

Fatima N. Operations Director · Inbound destination travel company · Riyadh (Sahara Voyage)

One customer journey. Zero ops drama.

The point of bookings that happen automatically is not to look modern. It is to make the most expensive part of your travel business — the reps, the supplier chasing, the failed payments — quietly disappear, while your direct booking share grows every quarter.

Frequently asked

What founders ask before signing the SOW

What does travel bookings that happen automatically actually automate?
Everything between a customer saying "I want this trip" and you having a confirmed, paid booking with vouchers issued. That includes live availability checks against your tool that updates your availability everywhere and partner booking pages, instant quote generation with all your pricing rules baked in, deposit collection through Stripe / Razorpay / Telr, supplier confirmation requests viaconnection or structured email, balance reminder flows, voucher generation, document delivery and customer follow-up system record updates. The human only enters the loop on exceptions or when a guest explicitly asks for a consultant.
Will it work with my existing tool that updates your availability everywhere and booking system?
Yes. We integrate with SiteMinder, Cloudbeds, RoomRaccoon, Tourplan, Travelopia, TravelStudio, Rezdy, Bokun, FareHarbor, TravelCarma and custom in-house systems. If you do not have a booking system yet, we can deploy WP Travel Engine, custom Travelconnection integrations on Amadeus or Sabre, or build a thin custom layer on top of your inventory database. For hotels we also wire directly into property booking software systems like Opera, Cloudbeds and Mews where useful.
What about cart abandonment — how do you recover bookings that drop off?
We deploy a three-touch abandonment recovery flow across WhatsApp, email and showing ads to people who visited. A 15-minute soft nudge ("did the page crash? here is your quote"), a 24-hour offer (often a 5% deposit reduction or a free transfer), and a 72-hour final call from a real consultant. Across deployed accounts this typically recovers 18–27% of abandoned high-intent carts. In many engagements the abandonment recovery alone pays for the entire project within the first 60 days of going live.
How does this handle availability when suppliers are not connected by API?
Three modes. For API-connected suppliers we check availability in real time. For partner booking page logins we use authenticated headless automation that runs every 15 minutes and caches into your inventory. For email-only suppliers (still depressingly common in destination travel company and inbound) we automate the request-and-confirm cycle with structured email parsing — supplier replies are read by AI, fields extracted, and pushed into the booking record automatically. The customer never feels the difference.
What about payment plans — deposit, balance, instalments?
All supported. We typically wire Stripe, Razorpay, Telr, PayTabs or your existing PSP for deposits, then schedule balance collection automatically on a date you define (usually 30, 45 or 60 days before travel). Failed balance charges trigger a soft WhatsApp reminder, a second email, and finally a hard call escalation to a human. Multi-instalment plans, agent commissions, group leader payments and corporate ledgers are all supported. See our customer follow-up system page for how this links to revenue reporting.
How long does it take to deploy and what does it cost?
A full bookings that happen automatically going live is typically 8–14 weeks depending on supplier complexity and how many existing systems we are wiring together. Build cost starts at USD 8,500 for a single-product travel agency and USD 18,000+ for multi-product destination travel companies with 30+ supplier integrations. Monthly running cost from USD 700 covers monitoring, supplierconnection renewals, ongoing tuning and the abandonment-recovery flows. Most going lives are net cash-flow positive within 90 days post go-live.
Will this reduce losing customers to booking websites?
Yes — that is usually the primary outcome we are paid to deliver. When your direct booking experience matches or beats what guests see on Booking.com and Expedia (instant quote, instant confirmation, clean voucher, real prices), they stop defaulting to booking websites. Across deployed clients, booking website share of bookings drops by 22–35 percentage points within 12 months. Paired with our Travel SEO and Travel Google Ads work the lift is usually faster.
What happens when a supplier double-books or fails to confirm?
The system maintains a confirmation SLA per supplier (usually 2 hours for API, 24 hours for email). If a supplier fails to confirm in window, the booking record is flagged red, an alternative-supplier query is auto-triggered against your secondary supplier list for the same product category, and a human consultant is alerted on Slack or Teams to take over. The customer never sees the chaos — they get a "we are finalising one detail" update and a confirmation as soon as the swap lands. Every exception is logged so we can renegotiate with poor-performing suppliers at quarterly reviews.
